One of the things that we need to address is that the meetings are announce (city), at least 1 year in advance, without exceptions.
I got some info, not sure if right or not, that Brisbane was not the initial venue in Australia and Brisbane has been a last minute choosing because the previous venue failure.
The result, at least for travelers from Europe means that the cost of the flight (booking today) is 3 times in economy (about 2.500 euros), double in business (about 7.000 euros). Not really aceptable. I’m not sure if such cost increase is the same traveling from other regions, but for sure many europeans may fail to attend Brisbane if they have traveling cost restrictions.
When there is such issue as a venue not signing (or breaking) the contract, we must have an alternative, even if it is Minneapolis or whatever, that doesn’t increase the cost for the participants and even if it means we change the rotation plan.
When I did a (VERY) quick cost comparison during the meeting before looking at this thread, it didn’t really matter the destination in Australia I looked for airfares, they were pretty much all the same. The difference of $100 USD on a $3000 didn’t seem significant enough to me for economy. Business is quite a bit more, obviously. That’s from the Pittsburgh, US. Eastern US, but edging to midwest.
So I personally would push back a bit on travel cost to Brisbane vs. Sydney for example. Not that they are cheap for me, but that there isn't more than a marginal difference. I didn’t look at hotel comparisons between locations in Australia. (And unless I add personal days to my trip, I’m unlikely to do so.) Honestly, it was just a fluke of curiosity that I compared cost to 3 cities in flight cost…. I suspect hotel costs would vary much more significantly, but again, I’m not bothering to know.

My (running) hash charges for first-time attendees, but it's free for the second time. This is to encourage people to return.
Make one of the meetings decentralized. Held simultaneously in multiple places around the globe. Getting the logistics and timezones equitable will be hard, but it would also greatly reduce our CO2 usage.
manycouches started this discussion, and a conclusion was that we should add a fourth meeting that was fully-online, and then maybe we can step down the three.
