Full details about the IETF 116 meeting are available at: https://www.ietf.org/how/meetings/116/ You may wish to consult our detailed FAQ that aims to answer the main questions about travel, registrations, hotel bookings, and the mechanics of onsite participation: https://www.ietf.org/how/meetings/116/faq/ The IETF 116 meeting venue is the Pacifico Yokohama North [3], a modern conference center with excellent facilities. Once you have registered, you will be sent a link (also available on your attendee dashboard [4]) that allows you to reserve a guest room at the InterContinental Yokohama Grand hotel, which is next to the venue. Staying at the main conference hotel has a number of benefits, including close proximity to the venue, free unfiltered high-speed internet provided by the IETF NOC, a specially negotiated room rate and of course being in the same hotel as many other IETF participants. The IETF also negotiates rates at other suitable hotels to provide you with cheaper alternatives. You can book one of these or make your own arrangements without registering first. For that reason, we make an unlimited number of fee waivers available to remote participants and operate on a trust basis, making no checks on eligibility. If you are planning to participate remotely and cannot afford the registration fee then please take the fee waiver option: https://www.ietf.org/forms/116-registration-fee-waiver/ # Cancellation and changing registration If you register for onsite participation and wish to change to an online registration then you can cancel with a full refund and re-register. If you wish to cancel your registration for any other reason then we will provide a full refund. Please request any cancellations and refunds by contacting the Secretariat at support@xxxxxxxx before the cutoff time of UTC 23:59 2023-03-20. # Visas Thanks for the generous assistance of our host WIDE, if you need a visa to travel to Japan, the appropriate application documents will be available on your attendee dashboard after you complete registration. If you have questions regarding visas, please contact the IETF Secretariat at support@xxxxxxxx. We are encouraging all members who require a visa to register as soon as possible, to submit the appropriate forms, to avoid any disruption in your travel plans. For additional information such as important travel tips and event information, please visit the official host website found below. https://ietf116.jp/ # COVID management The venue has a very thorough COVID management policy [5] that includes masks to be worn at all times, and they expect this to be the policy in March 2023. However, we will shortly begin a community consultation to determine what the policy should be if this local policy is loosened before the meeting. Once community consultation has closed, details regarding COVID management for onsite participants at IETF 116 will be published. For more information, see: https://www.ietf.org/how/meetings/116/faq/#covidmeasures # Childcare The IETF is again able to offer onsite childcare free to participants, thanks to the generosity of our Diversity & Inclusion sponsors. Participants with children ages 0-12 are invited to take advantage of this opportunity, with childcare available Saturday, 25 March through Friday, 31 March during the meeting day. More information and details about how to register this will be available soon.
